extended DEADLINE: 17 April 2016 23:59:59 CEST

How to submit an abstract

Abstracts on the particular subjects can be submitted exclusively online: www.ehs-congresses.org Applications via fax, e-mail, etc. cannot be taken into consideration. Notifications about acceptance or refusal will be sent out at the end of May 2016. Please note that all presenting authors must register for the Congress and pay the appropriate registration fee by the early bird deadline 30 June 2016. It will be assumed that any presenter not registered by this date has withdrawn their abstract from the programme.

Language

Language of submission and presentation is English.

Size, content

The abstract is limited to 1,750 characters incl. gaps. Tables and/or figures are not permitted. Modifications to abstracts that are already registered are possible up to the application deadline. The following structure of the abstract is mandatory: Title, introduction/objectives, methods, results and conclusions. Concerning the methods it has to be clear if it is a prospective or a retrospective study and how the data has been obtained. Statistical data have to be specified. The test execution of experimental studies has to be understandable. The described methodology of data entry and data evaluation of clinical papers must be traceable. The abstract has to contain all relevant data. To assure an anonymous handling, it is not allowed to mention any names of the author or of the hospital or of the location of the hospital in the text.

Publication

All authors listed have to give their consent regarding the abstract text, publication in the abstract volume as well as the publication through the online time tables. The abstract text has to be written in a way that it is usable for printing/publishing. It is the author’s responsibility to submit a correct abstract. All abstracts accepted for the programme willbe published in “Hip International”. Each abstract with language deficiencies needs to be revised by the submitting author and re-submitted for publication.

Rules & regulations

It is not allowed to submit an abstract several times to different subjects of the congress. The presenting author must be listed first. The number of authors including the presenting author is limited to 10. The person, who is mentioned first, is responsible for the compliance with ethic regulations and the law on animal protection. The abstract text has to be written in a way that it is usable for printing/publishing.

Posters

Poster submissions are welcome via the abstract submission platform as well. The posters will be displayed at the congress as e-posters.

Evaluation

All submitted abstracts will be reviewed anonymously by several experts. Evaluation criteria are:

  • “Interest of the subject” (Very interesting/New or Interesting or Already known, or no interest),
  • “Quality of the methodology” (Excellent or Fair or Inadequate),
  • “Results” (Well-presented and documented or Fair or Inadequate),
  • “Conclusions” (Important or Interesting but not new or Does not reflect the results).
  • “Language” (Language ok for publication or Language needs revision by author)
Abstracts that show formal errors (multi-submission for the same congress, not anonymised, already published elsewhere) are going to be rejected.

Awards

The two best presentations, after due evaluation by the Scientific Committee, will receive an award granted by Hip International of 1,500 EUR and 1,000 EUR respectively. The awarded abstracts will be published as full original article/review in a forthcoming issue of “Hip International”. All accepted abstracts will be included in a regular issue of “Hip International” available at the Congress.
